AV support for virtual events
Staff and students can host virtual events using:
- Teams Live Events
- Teams Meetings
Choose the right platform for your event
-
A Teams Live Event is an online broadcast which features up to 10 presenters. You can use a moderated Q&A to take questions from your audience. The audience cannot interact with you using their microphone or camera.
This is recommended for keynote lectures, Q&A panel discussions and public speeches. -
A Teams Meeting is an online meeting space which allows for up to 300 attendees and presenters. Everyone can participant using their camera and microphone, although you can 'Mute all participants' if needed. There is an unmoderated meeting chat which is available to everyone afterwards, including any files which are shared.
This is recommended for workshops, discussion groups and training events.
How it works
-
Teams Live Events are an extension of Team meetings. They allow you to host an online meeting and broadcast the content to up to 10,000 staff and students.
You can request features like a Q&A, a report of who attended and a trial run beforehand with IT Services.
Request a Teams Live Event
Fill out the form in IT Self Service to let us know more about your event. A member of IT Services will:
- get in touch to arrange a follow-up meeting
- organise the live event on your behalf and send you the relevant links two weeks in advance
- provide training to presenters
- administrate the event on the day
For more information, watch a recent example of a University live event or visit support.office.com.
If your event is out of hours
If your event runs outwith normal working hours, you may be charged for additional IT support. Alternatively, we can train someone within your area to support the Live Event which is free of charge.
Live streaming an in-person event
If your event is occurring in-person as well as online, IT Services may be able to film and stream it for you. Contact the IT Service Desk to discuss this option further.
-
All staff and students can set up and run their own Teams meetings without the help of IT. However, if you'd like advice about running your event, contact the IT Service Desk.
