How to book a student event
Events are an integral part of life at St Andrews, where we have dedicated departments within the Students' Association (Students' Union), Saints Sport, and Residential and Business Services (RBS) to assist you in organising an event in one of our many and varied venues.
These departments can advise on the best venue and provide guidance to ensure your event is successful and safe.
Reservations (RBS)
The reservations team is on hand for students and staff wishing to book a University controlled room.
Students can reserve a University controlled room for events occuring after 6pm from Monday to Friday or at any time on the weekend. These include rooms in United Colleges, Parliament Hall, and the Arts building, amongst others.
How to contact the reservations team
Complete the student room booking request form to reserve a room for your student meeting or event. For semester bookings, multiple room bookings, or any other queries, email reserve@st-andrews.ac.uk with your request.
University events manager (RBS)
The University events manager deals with events in University controlled spaces that are a little larger in scope and involve the following:
- Booking outdoor space, such as the Spanish Gardens, Lower College Lawn, the Secret Garden and the North Haugh
- Hall balls in identified University venues
- Events that involve University catering, external caterers, or any food element
- Events that require marquees or any other temporary structures, such as gazebos and tents
- Ticketed events for students or the general public in one of the University venues, excluding the Students' Union
- Events that involve external suppliers, for example, audio or visual elements, event hire, or special guests
- Booking Younger Hall, Lower and Upper college Hall, or Buchanan Theatre

The Students' Association
The Students' Association (SA) can assist sub committees, affiliated societies or groups, and individuals looking to book a meeting room, rehearsal space or commercial area within the Union building.

Saints Sport
Sports clubs wishing to host an event at University Park can make a facility booking request by completing the sports club event form.
Booking requests will be reviewed by the Saints Sport Duty Managers who will check availability and, where necessary, invite the event organiser to a meeting to discuss the event in more detail.
If you apply for a booking at University Park, you should not start making any commitments or advertising your event until you have received a booking confirmation from Saints Sport.
All event organisers should read and make themselves aware of the Saints Sport Conditions of Hire before booking facilities at University Park.
For events run at University Park, a Duty Manager will be assigned to the event to provide operational and facility support and advice for the sports club or other event organisers.

Health and safety requirements will be discussed for your event, and it is a legal requirement to follow the rules set out by each department.
