Booking information

Internal delivered catering bookings can be made online for a maximum of 50 people.

To book for 50 people or more, please contact Events Operations directly by email cateringservices@st-andrews.ac.uk.

Standard delivery times are between 8am and 5pm Monday to Friday.

Delivery on weekdays between 8am and 5pm

  • Booking notice: 72 hours
  • Minimum order value: £25 per delivery
  • Amendment notice: 72 hours
  • Cancellation notice: 72 hours

Delivery at all other times, including weekends

  • Booking notice: 7 working days
  • Minimum order value: £100 per delivery
  • Amendment notice: 7 working days
  • Cancellation notice: 7 working days

Cancellation charges

Weekdays between 8am and 5pm

  • Less than 72 hours’ notice for food orders – the full cost will be incurred.
  • 24-48 hours’ notice for tea / coffee orders – 50% of the cost will be incurred.
  • Less than 24 hours’ notice for tea / coffee orders – the full cost will be incurred.

Delivery at all other times, including weekends

  • Less than 7 working days’ notice – the full cost will be incurred.

Last minute bookings and amendments

Events Operations will make every effort to accommodate last minute bookings but cannot make any guarantees – please contact us to discuss your request.

Service

Should you require a member of staff to serve your booking, please contact Events Operations.

Service will be charged at £15 per hour per member of staff for a minimum of four hours.

Delivery

It is the responsibility of the customer making the booking to check that the intended delivery location has been booked and confirmed via the appropriate channels and is one in which catering is permitted. Please ensure tables are available for the delivery.

If Events Operations deems the location requested as unsuitable for a delivery someone will contact you and request that you book an alternative location where the delivery can be made. Where possible it is advisable to book a separate room for lunch deliveries to minimise disruption to your event.

If Events Operations are unable to gain access to the delivery location, the order will be either left outside the room or returned at the discretion of the Events Operations team.

Events Operations will set out the catering as best they can on the tables provided, otherwise this will be left to the customer to unpack.

Wherever possible Events Operations will endeavour to deliver your order 15 minutes prior to your requested time. Therefore, please allow for early deliveries when making your room booking.

Crockery and utensils will be delivered for the numbers booked.

If required, Events Operations will provide disposable crockery & cutlery for specific bookings.

This will remain at the discretion of the Events Operations team.

All catering equipment delivered with your booking remains the property of the University for example; reusable salad boxes, bento boxes and glass water bottles.

Any damage to items or the non-return of items after the booking, will be charged at full replacement cost.

Storage

When your food has been delivered, please store it carefully away from direct sunlight or heat sources.

It is strongly recommended that your food is kept covered until required and is consumed within 90 minutes of delivery, as per the University Food Policy.

Collection

Please ensure that all items are packed up and ready for collection at the end of your event.

Events Operations will aim to collect all the equipment on the same day, or by 10am the following day, with the exception of weekends.

It is not the responsibility of the catering team to pack away delivered items.

This service is only included if staffing has been booked.

If the person who placed the order is not present at the event, please ensure that somebody from the attending group is aware that all items need to be packed up.

Alcohol

To ensure compliance with Licencing Regulations, if your booking includes alcoholic beverages, please contact catering services to arrange this.

Events Operations will not provide alcoholic beverages if licence conditions are not met.

General

Whilst every effort will be made to provide the exact menu ordered, Events Operations reserves the right to substitute any product with a suitable alternative.

All events taking place after 5pm and during weekends, must provide a contact telephone number of the person on-site during the event.

Regrettably, we are unable to accept bookings during the following periods:

  • Christmas Holidays
  • May Day
  • Graduation
  • The Open Golf Championship in St Andrews
